How Winery Projects Use Construction Software

A winery is three buildings wearing one roof. There's a food-and-beverage production plant with process piping, floor drains, and stainless everywhere. There's a hospitality space that has to feel like a restaurant on opening day. And there's usually an ag component out back — crush pad, equipment yard, sometimes a cave dug into a hillside. Each of those has a different pace, a different inspector, and a different definition of "done." Put them on one site with one general contractor and you learn quickly that the schedule is the only thing holding the three worlds together.

I've run a couple of these. The lesson that stuck: a winery has a hard deadline the way almost no other commercial job does. Harvest doesn't move. Grapes come in when they ripen, and if the crush pad and the tanks aren't ready, the owner is trucking fruit to a custom-crush facility down the road and eating the cost. That single fact should shape how you plan the whole job.

Start From Crush, Work Backward

On most jobs you build a schedule forward from notice-to-proceed and manage the float. On a winery, do the opposite. Pin the crush date — talk to the winemaker, not the owner's rep, and get the realistic first-fruit window for your climate — then work backward. Everything the winery needs to receive and process that first load of grapes becomes your critical path. Tasting room millwork and the fancy light fixtures are important, but they're not going to shut the business down in September. Empty tanks with no wine in them will.

That backward pass usually surfaces a brutal truth early: the production side has to substantially complete months before the hospitality side, even though the hospitality side is what the owner keeps asking about. Managing that expectation is half the job. A clear look-ahead that shows the crush-critical work in one color and the tasting-room work in another makes the conversation concrete instead of a monthly argument.

The Production Building Runs on Utilities and Drainage

Wine production is a wet, sticky, high-volume process, and the building has to be plumbed for it. This is where crews from a standard commercial background get surprised. A few things to sequence carefully:

  • Trench drains and slope-to-drain floors. Crush and cellar floors get hosed down constantly. The slab work is fussy — you're pouring to trench drains with tight tolerances, and if the slope is wrong you'll be chasing standing water for the life of the building. Get this right before anything sits on the floor. Fixing it later means demo.
  • Process piping and glycol. Tanks are temperature-controlled with glycol chilling loops. That's a mechanical system that has to be roughed in, pressure-tested, and coordinated with the tank layout before tanks land. Megger and pressure-test everything before you insulate and close it up — you do not want to open a glycol line after the tanks are set and the room is finished.
  • Floor drains and grease/waste separation. Winery wastewater has solids and low pH. Local authorities often require neutralization or a separation system. That's a long-lead permitting item, not a fixture you order in week 40. Flag it in preconstruction.
  • Power for refrigeration. The chilling plant is a serious electrical load. Coordinate the service and the gear early, because utility upgrades and transformer lead times will quietly become your longest pole.

The rule of thumb: the production building is a light-industrial food facility, and you should schedule it like one. It is not a warehouse with a nice office. Rough-in coordination between plumbing, the glycol contractor, and the tank vendor is where these jobs are won or lost.

Tanks and Equipment: The Vendor Owns Your Critical Path

Here's the coordination gotcha that catches first-time winery builders. The winemaking equipment — tanks, presses, the crush-pad gear, the bottling line — is usually a separate purchase, often direct from the owner, and frequently on a long lead. Stainless tanks can run months. The building's completion is chained to that delivery, and you don't control it.

Practical moves that save you:

  • Get the tank drawings before you finalize the slab and mechanical rough-in. Tank pads, anchor points, and the glycol connection locations all depend on the actual equipment, not a placeholder. Building to a guess means rework.
  • Sequence for a clear installation path. Big tanks need a door or an open wall and a crane or forklift path. Plenty of crews have finished a beautiful cellar and then realized the largest tank won't fit through the opening. Set the equipment-install milestones into the plan and protect the access route until the big stuff is in.
  • Treat the equipment delivery date as a shared milestone, not the vendor's private problem. When it slips — and it will — you need to see the ripple through every downstream trade immediately. This is exactly what a rolling look-ahead is for: one date moves, and the three-to-six-week window in front of the crew re-sorts around it.

The Tasting Room Is a Restaurant Build in Disguise

Once you cross into the hospitality side, the whole rhythm changes. Now you're doing finish carpentry, a commercial kitchen or at least a servery, a bar with plumbing and refrigeration, public restrooms that trigger accessibility review, and a level of finish quality the production building never sees. Different inspectors, different trades, different tolerances.

The mistake is letting the tasting room and the production building compete for the same crews and the same superintendent attention at the same time. They shouldn't peak together. Structure the plan so production reaches its crush-ready milestone first, then let the hospitality finishes ramp as the pressure comes off the cellar. If your weekly work plan is location-based, this falls out naturally — you're literally planning different zones of the site on different clocks, and you can see when two areas are about to collide for the same electrician.

Caves and Barrel Storage: Slow Concrete, Long Cure

If the project includes a barrel cave or an insulated barrel room, build in time you can't compress. Aging wine wants a stable, cool, humid environment — often 55–60°F and high humidity held year-round. That drives heavy insulation, vapor barriers, and a dedicated conditioning system, and if it's a true cave, you've got shotcrete, waterproofing, and a lot of concrete that cures on its own schedule regardless of how badly you want to move on.

Don't let the barrel room's finish work start before the environmental system is proven. Racking, lighting, and any wood finishes should follow the moment you've confirmed the space holds temperature and humidity. Otherwise you're installing finishes into a space that's still fighting condensation, and mold on a brand-new barrel room ceiling is a conversation nobody enjoys.

Commissioning and Licensing Are Real Line Items

Two things that first-timers park at the end of the bar chart as a single day, and both deserve real duration:

Commissioning. The glycol/refrigeration plant, the tank temperature controls, and the waste system all have to be started up, balanced, and proven under something like real load. This isn't flipping a switch. Give it weeks, not days, and sequence it so a failed startup doesn't cascade into your harvest date. Ideally you're commissioning the cellar cooling well before first fruit so a bad compressor or a controls bug has room to get fixed.

Licensing and inspections. A winery is a licensed alcohol producer. Depending on jurisdiction there are federal, state, and local approvals, plus health-department review for anything food-and-beverage in the tasting room. These run on their own timelines and often require the space to be substantially complete before they'll even schedule the visit. Map those inspection dates as milestones with the licensing consultant early. Nothing stings like a finished building that can't legally take in fruit because the paperwork wasn't sequenced.

Where Short-Interval Scheduling Actually Earns Its Keep

A master schedule is useful for the big picture, but a winery lives and dies in the six-week window in front of the crew — and that window keeps shifting because the equipment vendor, the weather, and harvest timing all vote. This is the case short-interval and look-ahead scheduling was made for. The value isn't a prettier Gantt chart; it's that when the tank delivery slides two weeks, the whole crew can see, in the next weekly work plan, exactly which trades pull forward and which stall, without a two-hour meeting to figure it out.

A few habits pay off on these jobs specifically:

  • Plan by location, not just by trade. Crush pad, cellar, barrel room, tasting room, and site utilities each move on their own clock. Seeing the site as zones keeps you from double-booking a crew across two areas that both think they're first priority.
  • Make the harvest date visible on every plan. When the whole crew can see the countdown to first fruit, priorities argue themselves. The crush-critical path stops being an abstraction.
  • Track the long-lead items as their own flow. Tanks, electrical gear, the waste system, and the refrigeration plant belong on a watch list, reviewed every week, because any one of them can quietly become your critical path.
