Windows are one of the few trades where a delay you cause in week two doesn't show up until week ten. Order the wrong size, miss a shop-drawing deadline, or let a rough opening go in a half-inch out of tolerance, and nobody notices until the units are on the truck and the frames won't set. By then the fix is a six-week fabrication run and a very unhappy general. That gap between when a decision gets made and when it bites is exactly why window and glazing contractors live or die by a rolling look-ahead.
The idea isn't complicated. You keep a short planning horizon in constant motion, rolling it forward every week as work completes and conditions change. What makes it hard for windows specifically is that you're stitching together two clocks that run at completely different speeds: a shop that thinks in weeks of lead time, and a field that changes hour to hour. This is a walk through how experienced glazing supers actually run that coordination, and where it goes wrong.
The two clocks you're managing
Fabrication runs on lead time. Depending on the product and the current market, you're looking at real numbers: standard vinyl or aluminum punched windows might be four to eight weeks from release to delivery, thermally broken commercial aluminum eight to twelve, and anything with a custom finish, specialty glass, or a curtain wall unit can push sixteen weeks or more. Those are not schedule fillers, they're commitments the plant has already made to other jobs.
The field runs on readiness. A rough opening is either sized, square, and dried-in or it isn't. A floor is either topped out and safe to stage on or it isn't. The whole job of the look-ahead is to make sure the release you send the shop today matches the building you'll actually have when the truck shows up. Get that alignment right and installation flows. Get it wrong and you're either storing units you can't install or waiting on units that aren't built.
The practical rule: your release-to-shop decisions have to be driven by your longest-horizon look-ahead, usually six weeks out, while your install decisions ride the two-to-three-week view. Same schedule, two different reading distances.
Lock the openings before you lock the order
The single most expensive mistake in this trade is fabricating to design dimensions instead of field-verified dimensions. Framing walks, wood shrinks, steel gets bumped, and the opening the architect drew is not the opening you'll install into. Before you release a run to the plant, someone with a tape needs to have physically checked those openings.
What "opening ready" actually means, and belongs on your pre-release checklist:
- Rough opening dimensions field-measured, not scaled off a drawing — and measured at multiple points, because an opening that's right at the sill and pinched at the head is a common find.
- Openings square and plumb within the manufacturer's tolerance (typically 1/4" over the height, but check the spec).
- Structural supports, headers, and any embed or clip anchors complete and inspected.
- Sill pan, flashing, and the WRB / air barrier detailing sequenced so the window doesn't trap water behind it.
- Substrate condition confirmed — you're not fastening a heavy commercial frame into something that won't hold.
Field-measured openings are also why smart glazing contractors don't release the whole building at once. You release by floor or by elevation, as those areas get verified. The look-ahead tells you which openings will be ready in time to matter for the next fabrication window, and that's the set you measure and release. Everything else waits.
Sequence the building, don't just fill it
On anything over a couple of stories, windows go in by floor or by zone in a deliberate order, not wherever a crew feels like starting. A typical multi-family or mid-rise flow runs bottom-up following the framing and dry-in progression, but the real sequence is driven by two things that fight each other: dry-in urgency and interior trade demand.
Dry-in wants the weather-exposed elevations first. If the prevailing weather hits the north and west faces, those windows buy you the most protection per unit installed, and getting the building watertight unlocks everything inside. Interior trades want whatever floor they're staged to start on, because drywall, insulation, and finishes usually can't proceed until the openings are closed and the building's tight.
That tension is the whole game. The value of your look-ahead is that it lets you see, three or four weeks out, which floors will actually be ready and which interior crews are breathing down your neck, so you can sequence to unlock the most downstream work instead of just chasing the nearest open opening. When a floor slips — and one always does — the same view tells you where to redeploy the crew so they're not standing around. That's the difference between a rolling plan and a wall of sticky notes: when the plan breaks, you already know the fallback.
Where windows sit in the envelope sequence
A window is not a standalone install. It's one step in a waterproofing chain, and getting the order wrong is how you build in leaks that don't surface until the first hard rain after occupancy. The coordination that matters:
- Before you set the unit: sill pan flashing and the WRB have to be integrated so water sheds out, not in. Shingle-lap everything downward.
- Setting: shim, level, anchor to the manufacturer's pattern, and confirm the unit operates before you commit it.
- After the unit's in: head and jamb flashing tie back into the WRB, then air sealing, then backer rod and sealant at the perimeter.
- Downstream: exterior finish — cladding, EIFS, stucco, whatever — laps over the flashing, never the reverse.
The gotcha here is that the flashing and air-barrier trade and the window crew are often two different subs, and the sequence forces them to interleave on the same opening. Your look-ahead has to schedule that handoff explicitly. "Windows floor 3, week of the 14th" isn't a plan; "sill pans complete floor 3 by Monday, windows set Tuesday–Thursday, head flashing and air seal Friday" is. Build access into the look-ahead as its own line. If the swing stage is on the east face for the caulkers this week, your east-elevation window install has to bend around that, or you negotiate a swap ahead of time. Reserve the equipment window the same way you'd reserve a crane pick, and make it visible to the trades competing for the same rig.
When units show up damaged or wrong
They will. Glass gets cracked in transit, a frame arrives with the wrong finish, a sash is out of square, or a whole run comes in mismeasured. The instinct is to stop and stew. The disciplined move is to keep the crew productive on a ready area while the replacement gets fabricated — and to communicate the replacement's real timeline immediately, because a damaged unit isn't just your problem, it's a hole in the building envelope that holds up drywall, inspection, and finishes on that floor.
This is where the rolling nature of the plan actually pays off. A defective unit is just another readiness change. You update the look-ahead: this opening drops out of the current window, the replacement lands in week six, and the crew slides to the next verified area. The interior trades downstream see the revised date instead of finding out when they show up to a floor that isn't tight.
Close the wall clean: QC before it's buried
Once the exterior finish laps over the flashing, everything you did wrong at the window is invisible and expensive to reach. Bake the inspection checkpoints into the sequence so they happen before the opening closes up:
- Anchoring pattern and shimming verified against the shop drawings.
- Perimeter air seal continuous — no gaps, no missed corners.
- Flashing laps confirmed shedding water outward.
- Operation checked on every operable unit before it's trimmed in.
- Water testing (AAMA field test / ASTM E1105 or a job-specific spray test) on the sample units the spec calls for, before the finish covers the joints.
Photograph the flashing and air seal at each opening before it's covered. Those photos are your warranty defense and your answer when someone downstream claims your window is the leak. A minute per opening now saves a demolition later.
Making the rolling plan actually roll

The whole method depends on the plan updating every week against real conditions — openings verified, floors released, equipment relocated, damaged units re-released — and on that updated view reaching the shop, the field crew, and the trades on either side of you at the same time.
