A theater is two buildings pretending to be one. On one side of the proscenium you have a finish job that would make a hotel lobby jealous: plaster crown, wood veneer, custom seating, upholstered acoustics, sightlines measured in fractions of an inch. On the other side you have an industrial structure with a 70-foot steel grid overhead, a counterweight rigging system with tolerances tighter than most people expect, and enough conduit to wire a small factory. The trick to scheduling a theater is respecting that both halves have to converge on one immovable date — opening night — that nobody, not the owner, not the artistic director, not the GC, gets to move.

I've watched crews who could frame a hospital in their sleep get humbled by a 900-seat house. Not because the work was harder, but because they scheduled it like a normal building and the sequence bit them. Here's how these jobs actually go together, where the schedule usually breaks, and how to plan the look-ahead so you're not the reason the ribbon-cutting slips.

Start With the Stage House, Not the Lobby

The single biggest sequencing mistake on theater work is treating the auditorium and the stage house as parallel and equal. They aren't. The stage house — the tall fly tower behind the proscenium — drives your whole critical path, and it drives it early.

The reason is the rigging grid. Whether you're hanging a counterweight system or motorized hoists, the steel and the loft blocks have to be set before you can pour the finish overhead below, and the rigging vendor almost always needs the space clean and the floor available for layout. That means your gridiron steel, the head block beams, and the wall-mounted locking rail all want to be in and inspected before the auditorium ceiling work gets rolling. Get this backward and you'll have the acoustics sub staged and waiting while the rigging crew is still flying steel over their heads — which is both a schedule collision and a safety stop-work waiting to happen.

Rules of thumb I plan around:

  • Sequence the stage house shell and rigging steel ahead of auditorium ceiling framing, and build in a hard buffer between them — a day of rigging error can eat a week of downstream finish.
  • The rigging system almost always needs a dedicated load test and a separate inspection. Put that milestone on the schedule as its own line item, not buried inside "stage equipment," because it gates when anything can hang from the grid.
  • The stage floor itself is often a sprung or trap floor with its own buildup. It's a finish, but it also has to survive being a work platform. Protect it or pour it late — pick one and commit in the plan.

Acoustics Is Not a Trade — It's a Constraint on Every Trade

Owners hire an acoustician, the acoustician issues drawings, and the naive read is "acoustics = one sub who installs panels near the end." That gets people in trouble. Acoustic performance is buried in decisions that happen months earlier and by trades that don't think of themselves as acoustical.

The isolation details are the classic trap. A performance space that needs to be quiet — a recital hall, a drama theater, anything near a subway line or a mechanical room — is often built as a room-within-a-room on isolation pads or spring hangers. If your concrete or steel crew sets that up wrong, or if a well-meaning electrician runs a rigid conduit across the isolation joint and shorts it out, the room leaks sound and no amount of wall panel fixes it. That's a rip-out.

What that means for the look-ahead:

  • Flag every isolation joint, resilient hanger, and floated slab as a coordination hold point — nobody bridges it with pipe, conduit, or duct without the acoustician's blessing. Put an inspection between "rough-in complete" and "close the wall."
  • Sound-rated wall assemblies usually mean double or staggered stud, multiple layers of board, and sealant at every penetration. That's slower than a normal partition. Give those walls their own durations — don't schedule them at drywall production rates.
  • The heavy acoustic finish (plaster, wood diffusers, applied panels) is a late, clean, high-dollar activity. It wants the room dried in, HVAC balanced, and the messy trades gone. Protect that window; don't let a late MEP punch-list item drag dirty work back into a finished house.

The Auditorium: Where Sightlines Fight the Schedule

The seating chamber is deceptively slow. Raked floors, tiered concrete or steel, custom railings, and seating that's laid out to a sightline drawing rather than a nice even grid. You can't just start bolting chairs down — the seating vendor typically field-verifies the risers, then fabricates, then installs, and that fab lead time is long. If the risers pour late, the seating slips, and seating is one of the last things blocking the owner's occupancy.

Two things I always pull forward:

  1. Verify the risers early and lock the seating order. Seating lead times routinely run many weeks. The look-ahead should show the field measurement and the release-to-fabrication as milestones weeks before install, not the week you want to sit in the chairs.
  2. Coordinate the seating install against the finish ceiling and the house lighting. You generally want overhead work — cove lighting, ceiling finish, the catwalk-mounted fixtures — substantially done before the seats go in, because working over installed seating means protection, slower production, and damage claims. Fixed seating is a "clean the room, then fill it" activity.

The orchestra pit deserves a specific callout because it's small and everyone forgets it until it's on the critical path. Pits usually involve a lift or a filler platform, a rail, acoustic treatment, and tight access. If it has a hydraulic or spiralift pit lift, that's a long-lead piece of equipment with its own pit-within-the-pit structure, and it needs to be set before the surrounding finishes close it in. Schedule the pit lift like an elevator — because that's essentially what it is.

Theatrical Systems Are a Second MEP Package

A theater has two electrical scopes and they run on different clocks. There's the base-building power, lighting, and fire alarm — normal stuff. Then there's the performance package: dimming and control, dozens of circuits to the grid and the box booms and the front-of-house positions, the sound and audio-visual head end, the intercom, the video, and the stage-managed control that ties it together. That second package usually comes from a specialty theatrical systems integrator, and their install and commissioning overlaps the tail end of the job — exactly when everyone else is trying to finish.

Where this bites:

  • The pathways and back-boxes for theatrical systems have to be roughed in with the base-building electrical, or you're chasing conduit through finished acoustic walls later. Coordinate the two electrical scopes at rough-in, on the same weekly work plan, so the theatrical raceways don't get value-engineered out of the sequence and then jackhammered back in.
  • Rigging, lighting, and control commissioning is iterative. You focus and program lighting, you tune the sound system in the finished acoustic environment, and you cycle the rigging under load. None of that can happen until the room is quiet, clean, and closed — which puts it dead last, on top of everyone's punch list.
  • Systems commissioning needs the house dark and empty for stretches at a time. That's a scheduling constraint you negotiate up front. If the owner's AV integrator needs the room for two weeks of focus and tuning, that time comes out of your finish window, not out of thin air.

Life Safety and the Assembly-Occupancy Reality

A theater is an assembly occupancy full of people sitting in the dark, so the authority having jurisdiction cares intensely about egress, emergency lighting, the fire curtain or deluge at the proscenium, smoke control in the stage house, and the aisle and step lighting. The proscenium fire protection in particular — a fire curtain or a water deluge line at the stage opening — is a code-driven, inspected system that has to be functional and tested before you fill the house. Don't let it hide inside a generic "fire protection" bar; it has its own inspection and it's a certificate-of-occupancy gate.

Build the life-safety milestones as their own tracked items: emergency and egress lighting, panic hardware, the proscenium protection, stage-house smoke exhaust, and the fire-alarm integration with the theatrical control (so the show can be dropped and the house lights brought up automatically). These are the things the fire marshal walks on the final inspection, and any one of them not passing means no occupancy — which means no opening.

Planning It With a Rolling Look-Ahead

The bar chart the owner sees is not the tool that gets a theater open. What actually keeps these jobs on track is a disciplined short-interval plan — a rolling look-ahead that you rebuild every week, looking three to six weeks out, where the specialty trades, the acoustician, the rigging vendor, and the theatrical integrator all see the same near-term sequence and its constraints.

The reason a look-ahead matters more here than on a warehouse is the sheer number of one-of-a-kind, long-lead, inspection-gated activities converging on a fixed date. On a normal building, if a task slips you shuffle crews and recover. On a theater, half your critical activities are "the pit lift arrives," "the acoustician signs off on the isolation," "the systems integrator gets two dark weeks" — things you can't crash by adding bodies. You manage them by seeing the collision early and clearing the constraint before it's on top of you.

A few things I'd insist on in the weekly plan:

  • Make constraints visible, not just tasks. A good short-interval plan flags what's blocking each upcoming activity — the missing submittal, the inspection not yet scheduled, the isolation detail awaiting sign-off.   • Sequence the back-of-house honestly. Give them real durations and real crews on the look-ahead.
  • Protect the commissioning tail. Draw the finish, focus, and tuning window explicitly and defend it. The most common way theaters open late is that finish work eats the time the integrators needed, and there's no compressing a lighting focus or an acoustic tuning.

The Job Behind the Job

The thing to hold onto is that a performing-arts venue rewards planners who respect the sequence and punishes those who wing it. The steel overhead has to lead the finish below it. The acoustics live in details set months before anyone hangs a panel. The specialty systems arrive last and demand a clean, quiet, empty room right when the pressure is highest. And every one of those threads has to land on the same night, in front of an audience, with the lights coming up on cue.

Get the look-ahead right — stage house first, acoustics as a constraint on everything, the theatrical package coordinated with base building at rough-in, and a defended commissioning window at the end — and the building comes together the way it's supposed to. Get it wrong and you'll learn, the hard way, that opening night is the one milestone in construction that genuinely cannot move.
