The mechanical system is where the whole schedule lives or dies. On a typical office fit-out, if the HVAC runs a couple degrees warm nobody files a complaint. In a gallery holding a loaned collection, two degrees of drift or five points of relative humidity swing can void the loan agreement and get the building's environmental data flagged before a single crate arrives. That single fact reshapes how you sequence the back half of the job, and it's the reason a disciplined look-ahead process pays off more here than almost anywhere.

Why museum schedules invert the usual priorities

On most commercial work, the structure and envelope dominate the early schedule and the interior trades scramble at the end. Museums flip the weight to the tail. The building can be dried in and topped out on time and still be six months from an opening, because everything that matters happens after the space is enclosed: environmental stabilization, controls commissioning, and a monitoring period where you're proving — with logged data, not a passing glance at a wall thermostat — that the space holds its setpoint through a full daily cycle.

Plan backward from the collection installation date, not forward from foundations. The move-in of artifacts is a hard, immovable milestone tied to loan windows, courier availability, and insurance. Work back from it and you'll find the commissioning and burn-in period eats far more calendar than a bar-chart summary schedule ever shows. Get that anchor wrong and no amount of pushing the drywall crews recovers it.

The gallery envelope is a system, not a finish

The thing that trips up crews new to museum work is treating the gallery as a room to be finished rather than a sealed box to be built. A gallery that holds tight humidity needs a continuous vapor and air barrier — and that barrier gets compromised by the trades who come after whoever installed it. The lighting electrician who cuts in a track feed, the security tech who drills for a motion sensor, the AV crew fishing cable through the ceiling: every one of them can put a hole in the envelope that nobody sees until the commissioning agent watches humidity bleed out overnight.

Sequence the penetrating trades before you close and seal, then hold the line. In your make-ready check, the constraint on "seal gallery envelope" isn't materials — it's confirming that lighting, security, AV, and fire protection have finished every penetration they'll ever need. Make each of those foremen sign off that their rough is complete in that room. If the security scope is still evolving (it always is), that's a constraint you flag in the look-ahead weeks out, not a surprise you eat during commissioning.

Storage and gallery are two different climates

Don't let anyone lump collection storage and exhibition galleries into one HVAC narrative. Storage typically runs cooler and to a tighter, more stable band, often with its own dedicated air handling so a public-space load spike doesn't drag conditions around. Galleries take a bigger occupancy and lighting load and swing more through a day. On the look-ahead these are separate work streams with separate commissioning sequences, and they rarely finish at the same time.

Practical rule: get storage conditioned and stable first. It's the smaller, more controllable box, and once it's holding, you have somewhere to receive and acclimate collection material while the galleries are still being tuned. A storage room that reaches setpoint early is also your best real-world proof that the controls sequence works before you're betting the gallery opening on it.

Commissioning is the long pole — schedule it like one

Here's where most schedules lie to themselves. They show "commissioning" as a two-week bar near the end. On a museum it's neither short nor a single activity. You've got:

  • Point-to-point checkout of every sensor and actuator — and there are a lot of them, because tight environmental control means dense instrumentation.
  • Functional testing of the sequences: economizer changeover, humidification and dehumidification, reheat, the response when a gallery fills with a crowd on opening night.
  • A stabilization and monitoring period — commonly weeks, sometimes running to a couple of months for the most sensitive spaces — where the space is proven to hold temperature and humidity through daily cycles with the data logged.

That monitoring period is the part crews forget, and it's the part with zero flexibility. You cannot compress "prove it holds for 30 days" into two weeks by adding people. Build it into the look-ahead as a defined activity with a start gate ("all functional tests passed, all envelope penetrations sealed") and treat that start gate as the milestone the whole interior team is driving toward. Everything that could break the seal or add an uncontrolled heat or moisture load — open doors for material handling, wet trades, temporary heat — has to be done before the clock starts.

The order-of-operations traps that actually bite

A few sequencing gotchas show up on nearly every museum job:

  • Wet work vs. stabilization. Curing concrete, fresh plaster, self-leveling underlayment, wet-applied coatings — they all dump moisture into the space for weeks. If you start environmental burn-in before the building has fully given up its construction moisture, the RH data lies and you'll chase a ghost. Finish and dry the wet trades before the monitoring window, or the humidity data is worthless.
  • Lighting heat load. Even with LED, gallery lighting and its drivers add load. Commission the environment with the actual lighting installed and running on realistic scenes, not with the work lights. A system tuned in the dark won't hold when the show lights come up.
  • Off-gassing. Paints, adhesives, sealants, some millwork and casework off-gas compounds that damage sensitive material. Museums often require a bake-out or an extended ventilation period before collections move in. That's calendar time — put it on the look-ahead between "finishes complete" and "collection move," not in the wishful gap where you hoped to overlap them.
  • Floor loading and rigging paths. Large works and heavy cases come in on routes and through openings that have to survive until move-in. Protect and preserve those paths in your planning; don't let a late partition or a finished floor block the only way a two-ton sculpture gets to its plinth.

Security and the "who closes the wall" problem

Security and low-voltage scope on a museum is heavier than a first-timer expects, and it's usually the last scope to fully design. Intrusion detection, gallery-level access control, case alarms, camera coverage, and the head-end all need rough-in coordinated with the same ceilings and walls everyone else wants to close. The classic failure is a wall or a hard-lid ceiling getting closed and finished before the security contractor's device backing and conduit are in, forcing demo of finished work.

Before "close and finish" for any gallery goes on the weekly work plan, the constraint list has to include a hard yes from security, AV, and fire protection that their concealed work is complete.
