Secure Storage Scheduling Using Weekly Work Plan Construction

A secure storage facility is a strange animal to schedule. On paper it's a simple building — a shell, some interior partitions, a roof, a slab. But the whole reason the client is paying a premium is the stuff that doesn't show up on a rough framing plan: vault walls that have to pass a UL rating, a low-voltage backbone that ties cameras, card readers, alarms, and door controllers into one head end, and a commissioning process where a certifier or an insurer signs off before the doors ever open for business. Miss the sequence on any of that and you're opening walls back up, and nobody pays you to open a wall twice.

I've run enough of these — records archives, cannabis vaults, gun rooms, high-value warehouse cages, safe-deposit build-outs — to know the schedule lives or dies in the coordination, not the concrete. The trades are ordinary. The order is not. Here's how I plan and sequence the work, where the real trouble hides, and how a rolling look-ahead keeps it honest.

Why these jobs punish a bad sequence

On a standard tenant improvement, if the electrician shows up a day late, you slide him a day and move on. On a secure storage build the trades are chained together by inspection gates and by things that get permanently buried in the wall. The security-rated wall assembly, the conduit runs for readers and cameras, the door blocking and back-boxes, the alarm sensor wiring — all of it has to be in and verified before the drywall closes. Once that wall is painted, adding a forgotten reader means a saw, a patch, and a very unhappy client watching you demo work you just finished.

So the governing rule on these jobs: nothing closes until everything that lives inside it is roughed, tested, and photographed. Your weekly work plan has to enforce that gate, not just list activities.

Security-rated wall and vault construction

Vault and high-security walls are where crews lose the most time, usually because they treat them like normal partitions. They aren't. Depending on the rating, you may be looking at reinforced CMU, poured cells, steel mesh or expanded metal sandwiched in the assembly, or a modular vault panel system. Each one has a different lead time and a different inspection.

  • Confirm the assembly before you order. The rated wall detail drives everything downstream — door frame throat depth, anchor pattern, how the low-voltage penetrations get sleeved and sealed without breaking the rating. Get the approved assembly in hand, not the design-intent one.
  • Coordinate penetrations up front. Every conduit that crosses a rated wall is a hole someone has to detail. Have the security integrator and the electrician mark their penetrations on the vault before it's built, not after. Retrofitting a sleeve through a poured vault cell is a bad afternoon.
  • Modular vault panels have a real lead time. Six to ten weeks is common. That order has to be placed off the earliest look-ahead window, long before the crew is standing there waiting for it. Panel systems also want a level, cured slab and a clear delivery path — schedule the floor and the access, not just the install.

Give the vault a buffer that normal partitions don't get. I like a day or two between "vault structurally complete" and "close the walls" purely for the integrator to pull and dress their wire and for the AHJ or special inspector to look at anchorage before it's hidden.

The low-voltage backbone: rough it with the walls, not after

The single most common schedule failure on secure storage is treating security systems as a finish trade. Cameras, card readers, request-to-exit sensors, glass-break and motion detectors, door position switches, maglocks and electric strikes — the devices go in late, but their infrastructure is rough-in work that has to happen shoulder-to-shoulder with the electrician.

Sequence it like this:

  1. Framing up, before insulation and board.
  2. Electrician sets line-voltage back-boxes and homeruns.
  3. Low-voltage integrator pulls camera, reader, and sensor cable, sets back-boxes and mud rings, installs door blocking for readers and maglocks, and stubs conduit through rated walls.
  4. Test and label every run before anything closes. Toner on every cable, both ends labeled to the head-end schedule.
  5. Photograph the open walls — device locations, blocking, penetrations. This one habit saves you every time a device moves or fails and someone asks "what's behind here?"
  6. Insulate, board, tape, paint.
  7. Device trim-out and termination at the head end.
  8. Commissioning and integration test.

The gotcha that bites crews: door hardware and access control are the same door. The electric strike, the maglock, the door position switch, the request-to-exit motion — the door installer, the electrician, and the security integrator all touch that opening, and they rarely show up on the same day unless you make them. Build a door-by-door coordination pass into the weekly plan for every secured opening. Confirm handing, power-transfer hinge or door cord, and whether it fails secure or fails safe (fire code has an opinion here) before the frame is set.

Head end, network, and power — the room everyone forgets

Every camera and reader lands somewhere: a security/IDF room with the recorder, the access control panel, the network switches, and a UPS. That room needs power, cooling, a grounded rack, and its network drops early — because you can't commission a single device until the head end is alive. I've watched a job sit finished for a week because the surveillance recorder had nowhere to plug in and the switch hadn't been racked.

Put "head-end room energized and switched" on the look-ahead as a hard predecessor to any commissioning activity. Coordinate the UPS and any backup power with the electrician's panel schedule, and get the low-voltage rack, patch panels, and PoE switch capacity confirmed against the actual device count — cameras eat PoE budget fast, and finding out you're two ports and 40 watts short at commissioning is an avoidable stall.

Where the trade conflicts actually happen

A few coordination fights show up on nearly every one of these builds. Plan for them:

  • Fire protection vs. security. Sprinkler heads, smoke detectors, and duct detectors have to serve the vault and secure rooms without handing an intruder a soft entry or defeating the rated assembly. And egress: your maglocks have to release on fire alarm and on a power loss where code requires it. Get the fire alarm and access control integrators in the same conversation early — their two systems are wired together at the door, and if they meet for the first time at commissioning, you'll be there all weekend.
  • Lighting vs. camera coverage. Security lighting and camera placement have to agree. A camera aimed into a fixture washes out; a dark corner the lighting plan skipped becomes a blind spot. Reconcile the lighting layout and the camera coverage plan before the ceiling grid goes in, not after someone reviews footage.
  • Ceiling access above secure rooms. A lay-in ceiling over a vault is a way in. If the design calls for hard-lid or mesh above the rated area, that changes your ceiling and MEP access sequence completely. Catch it in preconstruction.

Commissioning and certification is a phase, not a punch item

The mistake here is scheduling commissioning as a half-day at the end. On a real secure storage facility, integration testing is its own phase: every camera framed and focused, every reader mapped to the right door and the right access group, every sensor tripped and confirmed at the panel, every alarm point verified to actually annunciate and, if monitored, to reach the central station. Then the certifier, insurer, or AHJ does their walk — and they may require a specific test log or as-built you have to produce.

Give this real duration on the look-ahead — often a week or more on a mid-size facility — and put the certification inspection on the schedule as a milestone with the paperwork listed as a predecessor. Nothing stalls a turnover like discovering the insurer needs a signed test report that nobody started assembling.

Making the weekly work plan carry the load

All of this is coordination, and coordination is exactly what a short-interval look-ahead is built to protect. The value isn't a prettier bar chart — it's forcing the conversation about constraints before the constraint becomes a torn-open wall.

A few habits that keep these jobs on rails:

  • Run a rolling look-ahead deep enough to catch the long leads. Vault panels, custom rated doors, and specialty hardware can run six to ten weeks out, so a four-week window isn't enough on its own to trigger the buy — make sure your longest lead item drove a procurement task the moment the design froze.
  • Make "constraint-free" mean something. A secured-room task isn't ready to schedule until the rated assembly is approved, the penetrations are coordinated, the door hardware is confirmed, and the head end has a path to power. List those as explicit predecessors so a task can't sneak onto the week's plan while it's still blocked.
  • Sequence by location, then by trade. These buildings are a series of secured cells. Drive the plan room by room — rough, test, photograph, close, trim, commission — so each trade flows through in the same order and you're never chasing a device you buried three rooms back. Secure storage construction isn't hard because the trades are exotic — it's hard because everything of value gets permanently sealed inside a rated assembly, and it all has to be roughed, tested, and verified in the right order before that happens. Get the long-lead vault and door items bought early, rough the security infrastructure with the walls instead of after them, coordinate every secured door as a three-trade huddle, energize the head end before you try to commission anything, and treat certification as a real phase with real paperwork.
