A photo that just sits in an archive documents history. A photo attached to an open item drives work. The distinction matters more than people realize.
When you flag a deficiency — a duct running through a joist it shouldn't, a fire-rated wall missing its top-of-wall detail — attach the photo to an issue with a location and a responsible party, and it becomes a tracked item with a clock on it. The before-and-after pair is the discipline: the photo that opened the issue and the photo that closes it. Nobody argues a punch item was fixed when the closing photo shows it fixed, at that location, on that date.

Tie the progress set to the rhythm you already have. If you're running a rolling weekly work plan, the natural cadence is a documentation pass at the end of each plan period: shoot the activities that were supposed to complete, confirm they did, and capture anything that's about to get covered next week. That way your photo record and your schedule tell the same story, and when the two disagree, you find out early — that's often the first real signal that an activity is behind, not just reported behind. Same-spot, same-angle, same-day is worth ten times a scattershot burst.
Markup, Reports, and Sharing Without Creating Noise
On-photo markup earns its keep when it removes ambiguity. An arrow and a two-word note — "wrong height" — on the actual image communicates faster and more precisely than a paragraph of text describing which pipe you mean. Keep it surgical. Markup is for pointing at the problem, not decorating the photo.
For sharing, the honest guidance is: give people the photos that resolve a question and nothing more.
