An arena has one immovable fact that governs everything else on the job: the building has to be full of paying people on a date somebody printed on a ticket months before the roof went on. Nobody is moving opening night because your air handlers didn't get balanced. That single constraint is what makes arena work different from almost anything else a foreman runs, and it's why the daily plan on an arena matters more than the fancy pull-planning session in the trailer.

I've watched crews chase a beautiful master schedule right off a cliff because the person holding the pencil never reconciled it with what could actually happen on the deck that week. On a venue with a fixed event date, the fix isn't a better master schedule. It's a disciplined look-ahead — a rolling three-to-six week window that you re-cut every single week against real field conditions. Below is how the pieces of an arena actually sequence, where they bite you, and what a foreman should be watching for at each stage.

Why an Arena Breaks Normal Scheduling Habits

Most buildings let you work floor-by-floor and phase your way up. An arena doesn't stack that way. You've got a raked seating bowl, a giant open event floor at the bottom, a long-span roof with no interior columns, and a concourse ring wrapping the whole thing — and a lot of that work happens on top of, under, and around itself simultaneously. The bowl, the roof, and the concourse are three different geometries with three different crews, and they all want the same crane time and the same access routes.

The trap is that the critical path doesn't run through the biggest, most visible activity. It usually runs through something small and boring: the last structural steel connection that lets you strike the roof shoring, or the one electrical room that has to be energized before you can commission anything. Your look-ahead exists to keep those quiet controlling activities in front of you instead of letting the loud ones — pouring the bowl, hanging the scoreboard — soak up all the attention.

The Structural Bowl

The seating bowl is a repetitive pour-and-set operation, which is good news — repetition is schedulable. Precast raker beams and tread units go up in a radial sequence around the bowl, and once you find your rhythm you can hold a predictable cycle: set, grout, weld or bolt the connections, then the next ring.

Where foremen get burned is the grout and connection cure between erection and load. Precast wants those connections made and cured before you stack the next tier's load path onto them, and that cure isn't optional just because you're behind. Build a real buffer — usually a day or two per zone — into the look-ahead for connection completion and inspection before the follow-on crew climbs on. If your weekly plan shows the deck crew and the erection crew in the same zone on the same day, someone's about to be standing under a load that isn't ready.

  • Sequence erection radially so the crane never has to back-track across finished work.
  • Track connection and grout cure as its own line item, not a footnote to erection.
  • Keep the survey crew a step ahead — bowl geometry is unforgiving, and a raker that's out of tolerance early multiplies all the way up.

The Long-Span Roof

The roof is the activity that scares people, and it should. Long-span trusses or a cable-net over a column-free bowl usually means a big shoring or lift operation, sometimes a full assembled-on-the-floor-and-jack-it-up scheme. Every hour that roof steel is in a temporary condition is an hour of exposure — to weather, to a windy afternoon that shuts down the crane, to a connection that doesn't fair up.

Two coordination realities drive the roof into your look-ahead. First, the bowl and the roof compete for the event floor. If your roof plan assembles steel on the floor, the bowl's floor slab and the roof's staging want the same real estate at the same time, and one of them has to blink. Second — and this is the one that quietly kills schedules — nothing gets weathertight until the roof is on and the deck and membrane are down. Every interior trade downstream of "dry building" is sitting on the roof's completion date whether they know it or not.

So the roof isn't just a roof activity. In the look-ahead it's the gate that releases the entire interior fit-out. Treat its completion as a milestone the whole downstream sequence hangs from, and protect the days leading up to it hard.

The Event Floor and Concourse Ring

The event floor is deceptively simple — it looks like a slab — but it's carrying ice piping, drainage, dasher-board anchors, sports lighting conduit, and floor boxes for broadcast and event power, all of which have to be located and inspected before you lock in the slab. Coordinate the underslab trades in a tight weekly plan and pour in the right order, because a floor box in the wrong place on an event floor is a jackhammer conversation nobody wants.

Meanwhile the concourse ring is where the real trade congestion lives. Concessions, restrooms, first aid, back-of-house, mechanical rooms — it's a dense donut of MEP and finishes, and it's usually the widest work front on the job. This is exactly the stretch where a short-interval look-ahead earns its keep: you're not managing one crew, you're managing a dozen subs threading the same overhead space. Rough-in wants to be sequenced overhead-first (the big ductwork and main runs), then the smaller trades, then close the ceilings, then finishes. Get that order wrong and you'll be pulling ceiling tile back down to chase a missed damper.

Suites, Premium Spaces, and Concessions

Premium areas — suites, clubs, the fancy bars — are high-finish, long-lead work, and they're often where the schedule slips without anyone noticing until it's late. Millwork, specialty glass, AV, and finishes all have procurement tails measured in months. The look-ahead's job here is to pull those lead times forward into view early so a countertop that ships in fourteen weeks doesn't surprise you in week thirteen.

Concessions have their own gotcha: they're a health-department inspection, not just a buildout. Grease traps, hood suppression, floor sinks, and the final food-service inspection all have to line up, and that inspection can't happen until the systems it depends on are live. Sequence concession finishes so the inspectable systems come on in the right order, and put the inspection dates in your look-ahead as hard constraints, not soft targets.

Event Systems: Rigging, Scoreboard, Sound, and Light

This is the layer that makes an arena an arena, and it's usually specialty contractors who aren't on site every day. Rigging grid, center-hung scoreboard, sports lighting, sound, and the show-power infrastructure all hang off the roof structure — which means they can't start until the roof is up and safe to work above, and they need the event floor clear for lifts.

Because these subs come and go, they're the easiest crews to miss in a weekly plan and the most expensive to re-mobilize. When you build the look-ahead, back-schedule from their required-on-site dates and confirm their access windows two to three weeks out — a scoreboard lift needs the floor empty, the crane available, and the grid ready all on the same day, and if any one of those slips the whole choreography falls apart. Coordinate these access windows explicitly; don't assume they'll sort themselves out.

Life Safety and Commissioning

Everything on an arena funnels into commissioning, and commissioning is where optimistic schedules go to die. Fire alarm, sprinkler, smoke evacuation, emergency power, egress lighting, and the whole life-safety package have to be installed, tested, and accepted before you get an occupancy sign-off — and a venue full of thousands of people gets scrutinized harder than a warehouse.

The mistake foremen make is treating commissioning as a phase at the end instead of a sequence woven through the last several weeks. Systems have to be energized in dependency order: you can't test smoke evac until the air handlers run, can't run the air handlers until they're powered and balanced, can't balance until the building's closed up. Build that dependency chain into the look-ahead as a countdown, work backward from the inspector's date, and you'll see the real deadlines — which are always earlier than people think. Leave a genuine buffer for the punch-and-retest cycle, because something always fails the first test.

Opening Night Is the Only Deadline That Counts

When you back-schedule from a fixed event date, every buffer you spent earlier in the job is a buffer you don't have at the end. That's the discipline an arena demands: protect the float, don't burn it early chasing activities that aren't on the controlling path. A weekly work plan that's honestly reconciled against field conditions — and re-cut every week as those conditions change — is what keeps the fixed date from turning into a fire drill in the last month.
