A restaurant build-out is one of the meanest little jobs in commercial construction. The square footage is small, so people assume it's easy. It isn't. You've got a landlord counting rent days, a franchisee who signed a lease with an opening date already printed on the marketing, a health inspector who can sink you in one visit, and a kitchen full of equipment that has to be set, plumbed, wired, and vented before anyone flips a burger. Everything happens in a tight box, on top of everyone else, on a clock that started before you got the keys.

I've run enough of these to know the schedule is the whole game. Not a bar chart that lives on a server nobody opens — a real, weekly, who's-doing-what-in-which-room plan that the plumber, the hood installer, and the refrigeration guy all actually look at. Here's how the sequence really goes, where restaurants bite you, and how to keep a compressed build on its feet.

Start From the Opening Date and Work Backwards

Most jobs you plan forward. Restaurants you plan backward, because the constraint isn't your crew — it's the calendar. The operator has a soft-open date, a training week before that, an equipment-and-menu shakedown before that, and a certificate of occupancy plus a health department sign-off gating all of it.

So write down the opening date and start subtracting. Two weeks for training and dry runs. A few days for the health inspection and any re-inspection (assume you'll need a re-inspection — you usually do). Time for the final building inspection and CO. Then your punch. Only then do you know your real substantial-completion date, and it's almost always weeks earlier than the operator thinks. Getting that number in front of everyone in week one — franchisee, landlord, GC, the vendors bringing equipment — is the single most valuable thing you do on a restaurant job. A backward-planned look-ahead schedule makes that math visible and keeps it honest as the job moves.

Long-Lead Equipment Is the Job — Order It Day One

The dirty secret of restaurant scheduling is that your critical path usually isn't drywall or paint. It's a walk-in cooler that's six to eight weeks out, a custom exhaust hood that's fabricated to order, a switchgear or transformer upgrade the utility takes months to energize, or a grease interceptor the city wants sized a certain way. None of that cares how fast your framers are.

On the first day of preconstruction, build your long-lead list and get real ship dates in writing:

  • Walk-in coolers and freezers — panels, refrigeration systems, and the door/frame. Confirm whether it's remote or self-contained refrigeration, because that changes your electrical and your roof.
  • Exhaust hoods and the make-up air unit — often the longest lead in the building and the item every other kitchen trade waits on.
  • Electrical service upgrades — if you need more power than the shell provides, the utility timeline is out of your hands. Start it immediately.
  • Grease interceptor — sizing and location get argued with the plumbing inspector; don't discover that in week six.
  • Owner-furnished kitchen equipment (FF&E) — cook line, prep tables, dish machine, ranges. The operator usually buys these, which means you're now managing someone else's procurement, and they're always more optimistic than reality.

Put every one of these on the look-ahead with its lead time showing, not just its install week. A three or four week window tells you what's happening on site; the procurement dates behind it tell you whether that window is even possible.

The Rough-In Sequence, and Where It Goes Sideways

Kitchen rough-in is denser than anything else you'll build. In a restaurant back-of-house you've got plumbing supply and waste, floor sinks and floor drains, grease waste running separately, gas, power, low voltage, hood ductwork, fire suppression piping, and refrigeration lines — all fighting for the same ceiling and the same slab. Coordinate it loosely and you'll be cutting concrete or re-hanging duct in week ten.

A sequence that holds up:

  1. Underground first, and get it right. Floor sinks and drains have to land under equipment, and equipment locations come from the actual approved kitchen equipment (KEC) drawings — not the architectural background. Verify the KEC against what's actually being delivered before you pour. A floor sink eight inches off is a jackhammer, not a pencil correction.
  2. Hood and exhaust ductwork. The hood is big, heavy, and dictates ceiling height and duct routing above it. Set it and run the duct before the other trades fill the ceiling, or they'll have to move for you anyway.
  3. Overhead MEP around the hood. Now HVAC, plumbing, gas, sprinkler, and electrical thread in. Hold a real coordination sit-down before anyone hangs iron — restaurants are worth a short clash-check even on a small job.
  4. Wall rough-in and blocking. Power and data for the cook line, blocking for wall-hung equipment and hand sinks, and the dedicated circuits every piece of equipment wants.
  5. Inspections, then close up. Rough plumbing, gas test, rough electrical, and the hood/duct inspection each have to pass before you cover anything.

Between rough-in and closing walls, give yourself a real buffer — a day or two, not zero. That's your cleanup, your inspection, and the correction the inspector always finds. Crews that schedule "close walls" the same day as "rough electrical inspection" are the ones re-opening walls two weeks later.

The Hood Is a Four-Trade Handshake

The exhaust hood is where more restaurant schedules die than anywhere else, because no single trade owns it. The hood installer sets it. HVAC ties in the exhaust fan and the make-up air. Electrical powers the fan, the lights, and the shunt trip. The fire suppression contractor installs the wet system, ties it to the gas shutoff and the building alarm, and coordinates the pull station. Plumbing may feed a wash-down.

Then it all gets tested together, usually with the fire marshal watching, before your health inspection. If any one of those trades is a week behind, the whole test slips, and the health inspection behind it slips, and the opening behind that slips. Sequence the hood as its own little mini-project with named handoffs, and hold each trade to its date. Walk-Ins and Refrigeration Need to Be Planned Early, Set Late

Walk-in coolers and freezers are a scheduling paradox: you plan for them at the very start but install them near the end. The panels can't go up until the floor's done and the space is dried in and clean, but the power, the refrigeration line routing, the condensate drain, and — for a freezer on grade — the insulated slab or heater mat all had to be roughed in months earlier. Miss the freezer floor detail at slab time and you're rebuilding the floor.

Coordinate the condenser location early too. Remote condensers usually live on the roof or a back pad, which means structural support, a roof penetration, a line set, and often a screening detail the landlord or city cares about. Get the mechanical and electrical rough-in staged for it, then set the boxes once the room's protected — a walk-in is expensive and easy to damage if it goes in while other trades are still churning.

Build the Health Inspection Into the Schedule as a Milestone, Not a Prayer

You do not open without the health department, full stop, and they see things a building inspector doesn't. The finishes that matter to them are specific and unforgiving:

  • Smooth, cleanable, non-absorbent surfaces everywhere food is handled — the right floor, coved base, washable wall panel (usually FRP) to the correct height.
  • Hand sinks in the right places, with soap and towel dispensers, and a mop sink.
  • Three-compartment sink and dish machine plumbed and working, with the required air gaps.
  • Backflow prevention, floor drains, and the grease interceptor in and accessible.
  • Ventilation and hood operational, and adequate lighting with the correct shielding.

Treat the health inspection as a hard milestone on the look-ahead with its own two-week runway of prerequisites feeding it, and assume a re-inspection in your timeline. Nothing kills momentum like a crew that "finished" and then sits idle for a week waiting on a re-visit for a missing air gap.

The Two Fronts: Kitchen and Dining Have to Finish Together

A restaurant is really two projects sharing a wall. The back-of-house is a wet, dense, inspection-heavy MEP job. The front-of-house is a finish job — flooring, millwork, that specific brand look, the bar, the booths, the lighting package, and the FF&E the operator delivers late. They run on different rhythms, but they have to hit the finish line the same week, because the operator can't train staff in a dining room with no equipment or a kitchen with no floor.

This is where a location-based weekly work plan earns its keep. Splitting the floor plate into zones — cook line, dish, dry storage, walk-in bay, bar, dining, restrooms, vestibule — and planning crews by zone keeps the finish trades from stacking up on top of the kitchen trades. It also makes the honest conversation easy: if the operator's cook line ships two weeks late, you can see immediately which zones you can keep working and which one goes dark, instead of finding out when the truck doesn't show. Don't Forget the Stuff That Isn't Construction

Two items sink otherwise-clean restaurant jobs at the very end. First, exterior signage: it needs its own permit, often a separate structural or electrical review, and a fabrication lead time that rivals the kitchen equipment. Start it early and track it as its own thread, because a landlord or franchisor can hold your opening over a sign. Second, low-voltage and POS: point-of-sale, network, phones, security cameras, music, and the kitchen display system all need cabling roughed in with the walls open and terminated near the end, and the vendors doing that work are usually the operator's, not yours. Get them access windows on the schedule so they're not showing up the day before opening asking where their cable is.

Run It Weekly, Out Loud, With the People Doing the Work

None of this holds together with a schedule that only the superintendent has seen. On a compressed restaurant build, run a short weekly work-planning session with the actual trades — hood installer, refrigeration, plumbing, electrical, fire suppression, finishes — and walk the next two to three weeks by zone. Make each foreman commit to what they'll finish and confirm their prerequisites are actually ready. When someone can't start because the thing before them isn't done, you want that surfaced in a Monday meeting, not discovered by a crew standing around on a Thursday.
