Every superintendent has a version of the same story. The framing is done, the electricians and plumbers have their rough-in in, the drywall crew is stacked in the parking lot ready to start Monday, and then somebody realizes nobody called for the rough inspection. The inspector's next open slot is Thursday. Now you're eating three days, the drywall crew is off to another job, and the whole downstream sequence just slid a week. Nothing failed. Nobody did bad work. You just missed a phone call.
Inspections are where good schedules quietly go to die. They're not glamorous, they don't show up as a bar on most Gantt charts, and half the time they live in one person's head. This is exactly the kind of hidden constraint that a disciplined look-ahead process — and the software that runs it — is built to catch before it bites you.
Treat the inspection as an activity, not an afterthought
The single biggest mental shift is this: an inspection is a scheduled activity with a duration, a predecessor, and a successor. It is not a formality that magically happens when the work is done. If it's not on your weekly work plan the same way a concrete pour or a drywall hang is, it doesn't exist, and it will surprise you.
Put the inspection on the board explicitly. Give it a line. The predecessor is "work complete and inspection-ready." The successor is "cover it up" — pour the slab, close the wall, backfill the trench. When you connect it that way in your look-ahead, the software stops you from sequencing the cover-up before the sign-off, because the dependency is right there in front of everyone at the weekly meeting.
Lead time is the whole game
Most inspection delays aren't about the inspection itself. They're about notice. Jurisdictions vary wildly — some AHJs (authorities having jurisdiction) take same-day or next-day requests, plenty want 24 to 48 hours, and a busy municipal building department in a hot market can be booking three or four business days out. Third-party special inspectors and the deputy inspectors your structural engineer requires are their own animal, often needing a week's notice and their own availability window.
The practical rule: know your AHJ's real lead time, not the posted one, and schedule the request as its own task ahead of the inspection. If your city wants 48 hours and the inspection is Thursday, the "call it in" task lands Monday. That request task belongs in the look-ahead just like the inspection does. This is where a three or four week look-ahead earns its keep — it gives you enough runway to see the inspection coming while there's still time to make the call, line up the trade to be there, and confirm the work will actually be ready.
A short checklist I've made crews run before they ever pick up the phone to request:
- Is the work actually 100% complete, or is there a "we'll finish that one riser tomorrow" hanging out there?
- Are the prerequisite inspections signed off? (You can't get a framing inspection approved if the rough electrical it depends on hasn't passed.)
- Is the area clean and accessible? Inspectors will red-tag a job they can't safely walk.
- Is the responsible trade going to have someone on site to answer questions and fix a five-minute item on the spot?
- Are the approved plans, the permit card, and the relevant cut sheets on site?
Prerequisites: the chain nobody diagrams
Inspections almost never stand alone. Rough-in inspections stack: you typically want plumbing, mechanical, and electrical rough all inspected before you close a wall, and in many jurisdictions the framing inspection is its own gate that can't happen until the MEP roughs are signed and the fire blocking and hold-downs are in. Miss the order and you fail — or worse, you pass one, close the wall, and then find out the framing inspector needed to see the shear nailing you just covered.

Self-inspect before the official inspection
The cheapest inspection is the one you do yourself the day before. A failed rough can easily cost you a week you didn't budget.
Build a standardized pre-inspection checklist for each inspection type — rough electrical, rough plumbing, framing, insulation, and so on — and have the foreman for that trade walk it and sign it before you request. Common repeat offenders I've watched fail jobs: missing nail plates on plumbing penetrations, unstrapped water heaters, fire caulking not done at penetrations, GFCI or AFCI protection missing, hold-downs not fully torqued, and the classic — a light fixture or box added after the electrician's own walk that nobody protected. Document the result while you're standing there
When the inspector signs the card, that's a schedule event and a quality record at the same time. Capture it immediately — pass, pass-with-corrections, or fail — with a photo of the signed card or the corrections list. Do it from the field on your phone, not from memory back in the trailer at 5 p.m. when the details have gone fuzzy.
The pass-with-corrections case is the one that burns people. You "passed," so everybody mentally moves on, and three punch items quietly never get closed until a final walk six weeks later drags them back up. Log every correction as its own trackable item, assign it to the responsible sub by name, and give it a due date before the next dependent activity. A correction that isn't assigned to a person with a date is a correction that isn't going to happen.
Model the schedule impact honestly
The reason inspections deserve real estate on the look-ahead is that they sit on the critical path far more often than people admit. Anything you're about to cover, pour, or backfill has an inspection in front of it, and every one of those is a hard stop. A slid framing inspection doesn't just delay drywall — it cascades through tape, prime, paint, and trim, and if you were counting on that area to release the next trade's crew, you've now got people standing around.

A few hard-won details that don't fit neatly into a category but cost real time:
- Inspector windows are not appointments. Many jurisdictions give you a half-day or all-day window, not a time. Plan the trade's presence and the surrounding work around that uncertainty — don't schedule a crane pick for the exact hour you're hoping the inspector shows.
- Special and deputy inspections run on a separate track. Structural steel, welding, high-strength bolting, epoxy anchors, soils, and shotcrete often require a continuous special inspector who has to be there during the work, not after. That's a scheduling constraint on the work itself, and it needs its own lead time to book.
- Third-party testing has a lab turnaround. Concrete break tests, soil compaction, and weld testing come back on a lab's clock, not yours. If a downstream activity depends on a passing break at 28 days, that result date is a real milestone — put it on the look-ahead.
- Owner and consultant walks aren't code inspections but they gate work too. Architect observations, above-ceiling walks before you close the grid, and owner sign-offs on mock-ups all block progress. Track them the same disciplined way, or the ceiling grid closes and you're back up in it with a lift.
- Permit closeout is a chain of finals. The certificate of occupancy usually depends on a stack of final inspections — building, electrical, mechanical, plumbing, fire, sometimes health and elevator — plus their sign-offs landing in the right order. Map that closeout chain during preconstruction, because at the end of a job everyone's exhausted and that's exactly when a forgotten final costs you a delayed C of O.
Make it visible to the field, not just the trailer
None of this helps if the inspection schedule lives only on the super's laptop. The foreman who needs to have his crew stop covering a wall, or the trade partner who needs to be present, has to be able to see what's coming without walking to the trailer.
