Ask any superintendent what actually wrecks a good schedule, and after weather and material delays, you'll hear the same thing: a failed inspection at the wrong moment. A rough-in that doesn't pass on Thursday doesn't just cost you Thursday. It holds the wall open, pushes insulation and drywall, and every trade stacked behind that wall slides with it. One thirty-minute inspection can move a two-week tail.

The frustrating part is that most inspection pain is self-inflicted. It comes from calling too early, missing a prerequisite sign-off, or forgetting that the inspector only comes to your part of town on Tuesdays. None of that is about the inspector being difficult. It's about coordination — and coordination is exactly what your look-ahead schedule is supposed to protect. This is a walk through how experienced supers treat inspections as planned schedule activities instead of surprises, and where the right tools genuinely earn their keep.

Treat the inspection as an activity, not an event

The first mental shift is the whole ballgame. An inspection is a scheduled activity with its own duration, its own predecessors, and its own float — not something that magically happens when the work is "done." If your rough electrical shows on the wall but the inspection sign-off lives only in someone's head, you don't have a schedule, you have hope.

On a real weekly work plan, the inspection gets its own line: the work that has to finish before it, the inspection itself, and the buffer after. Frame-to-rough-in usually wants a one-to-two-day cushion for punch, cleanup, and the inspection window before you commit to closing the wall. Skip that buffer and the first failed inspection eats your entire week, because you left yourself no room to correct and re-call.

When you sequence inspections explicitly in a look-ahead — rough plumbing, then rough electrical, then rough mechanical, then framing sign-off, then insulation, then cover — the software's real value is that it makes the dependency visible to everyone. Nobody insulates over an unsigned rough because the plan won't let the cover activity start until its predecessor inspection is marked passed. That's short-interval scheduling doing the one thing it's good at: keeping the crew from getting ahead of the paperwork.

Know the calendar you don't control

You control your crews. You do not control the AHJ. Building departments, fire marshals, health inspectors, and the elevator state inspector all run their own calendars, and some of them only cover your jurisdiction on certain days or with 48-to-72-hour notice. The number of times a project loses a week because a super called Monday for a Wednesday inspection — on a route the inspector only runs Fridays — is embarrassing for our whole trade.

Build the AHJ's cadence into your three-week and four-week look-ahead the moment you mobilize. Find out:

  • How much advance notice each authority requires, and whether they schedule AM/PM windows or just "sometime that day."
  • Which days they actually come to your area, and whether there's a hard cutoff for same-day requests.
  • Which inspections must be witnessed live versus which accept photos or a third-party special inspector's report.
  • Who has to be present — the fire alarm sub for the fire test, your plumber for the pressure test, the special inspector for structural.

A rolling look-ahead that carries those constraints forward turns inspection scheduling from a scramble into a routine. You see the framing inspection landing in week two, you know the department needs two days' notice, so the request goes in on the right day automatically as part of your weekly planning — not when someone finally notices the wall is ready.

The prerequisite check that saves your week

Failed inspections cluster around a handful of avoidable causes: work genuinely not finished, work not accessible, or a required document not in hand. Calling for inspection before all three are clean is the single most common own-goal in the field.

Before anyone requests an inspection, run a real pre-inspection checklist. Not a formality — an actual gate. For a rough electrical, that means the megger readings are recorded, boxes are set to the right depth, the panel schedule is filled out, and grounds and bonds are made up. For a framing inspection, it means the shear nailing is complete and inspected by your own super first, the hold-downs are torqued, the fire-blocking is in, and the structural special inspection reports are on site. Verify the work with your own eyes before you ever call the AHJ. An inspector who fails you on something you could have caught is teaching your crew that your callouts don't mean "ready."

This is where making checklist completion a hard prerequisite for scheduling the inspection pays for itself. If the plan won't let you mark the inspection "requested" until the readiness items are checked off, the preparation actually happens instead of getting assumed. Standardized, trade-specific checklists also mean a new foreman inherits your hard-won list instead of relearning it through a failed inspection.

Sequence multi-authority inspections in the right order

Complex jobs stack inspections from different authorities, and some have prerequisites you can't see until you've been burned. Fire sprinkler needs its hydro and its rough before the building department will sign the cover. Underground plumbing needs to pass before you pour the slab, and once that concrete is down, a missed underground inspection is a jackhammer problem, not a re-call.

Map the order once and carry it in the look-ahead so the ugly ones never sneak up:

  1. Underground / below-slab — plumbing and electrical under the slab, before any pour. There is no do-over here.
  2. Rough-ins — plumbing, mechanical, electrical, low-voltage, in the sequence your inspector expects.
  3. Framing / structural — after MEP rough passes, because the framer's holes for the pipes and conduit are part of what's inspected.
  4. Fire and life-safety — sprinkler, alarm, fire-rated assemblies, often witnessed live with the sub present.
  5. Cover / insulation — only after everything behind the wall is signed.
  6. Finals and certificate of occupancy — a whole choreography of its own.

The point of holding this in a shared schedule rather than one person's memory is that when a rough fails and slides, everyone downstream sees the ripple immediately. The failed inspection becomes a live constraint on the cover activity, and the crew that was going to insulate tomorrow gets redirected instead of showing up to a wall they can't touch.

Plan for failure, because some is coming

A schedule built on a 100% first-time pass rate is a fantasy. Even good crews get red-tagged for a code interpretation nobody expected. The mature move isn't to assume perfection — it's to carry a little contingency and to correct fast when it happens.

When something fails, three things need to move at once: the correction gets prioritized ahead of new work, the re-inspection gets called the same day if the AHJ allows it, and every downstream activity that was waiting on that sign-off gets flagged as blocked so nobody wastes a crew on it. The teams that recover well aren't the ones that never fail — they're the ones who turn a red tag around in a day instead of a week because the correction jumped the queue instead of sitting behind whatever was already planned.

Keep the paper where the inspector is

Half of a smooth inspection is having the documentation ready before the inspector asks. Approved plans, the current permit set, special inspection reports, product listings and cut sheets for anything questionable, prior sign-offs. When the fire marshal asks for the alarm submittal and you can pull it up on a phone right there at the panel, you keep the inspection moving. When you have to say "I'll email it," you've handed them a reason to come back another day — and another day is another slot on their calendar you now have to wait for.

Mobile access to the inspection record does double duty. It gives you the documents on the spot, and it captures the result — pass, fail, or corrections required — while you're standing there, so the history is honest and complete instead of reconstructed later.

Use the history to stop repeating the same mistakes

The last thing worth doing is looking at your inspection results as data, not just individual events. If the same trade keeps failing rough electrical, or the same inspection type gets red-tagged across three jobs, that's not bad luck — that's a systemic gap in how that work is being prepped, and it's fixable once you can see the pattern.

Tracking first-time pass rates over time tells you whether your quality push is actually working. It also tells you which inspector cares about what. An inspector's prior comments are the cheapest test-prep you'll ever get; a good record of what they flagged last time is how you walk into the next one already knowing where they'll look.
