Every failed inspection costs you the same three things: a day, a crew that's now standing around or moved off to something else, and a little more of the inspector's patience. Do it enough times on the same job and you've taught the AHJ to show up expecting problems, which is the last reputation you want when you're trying to get a rough-in signed off on a Friday afternoon. Inspections aren't the enemy — they're a gate you have to walk your work through, and the whole game is arriving at that gate ready. That readiness is a scheduling problem before it's a quality problem, which is exactly where field and look-ahead software earns its keep.

This isn't about software replacing the walk. Nothing replaces putting your eyes on the work before the inspector does. But the coordination around inspections — knowing what's required, who has to be there, what has to be done first, and what work is frozen until the sign-off lands — is the part that quietly eats projects. Here's how to run it well.

Treat every inspection as a scheduled activity, not a phone call

The single biggest mistake I see foremen make is treating inspections as something you "call for" when the work looks done. That framing puts the inspection at the mercy of whatever the inspector's calendar looks like that week, and it treats the work as finished when it's actually only physically complete — not verified, not documented, not signed.

Put the inspection on the schedule as its own line with its own duration. A municipal building inspection in a busy jurisdiction often needs 24 to 48 hours of lead time between the request and the visit, and in some cities you're looking at same-day-if-you-call-before-7am or nothing. Special inspections — structural steel, spray-applied fireproofing, post-installed anchors — usually run through a third-party lab and want more lead time, frequently a week, because the inspector is booking multiple jobs. When you build a weekly work plan and the inspection sits on it visibly, the lead time stops being a surprise. You're requesting Tuesday's inspection on Friday, not discovering Tuesday morning that you should have called Friday.

Map hold points so nobody buries the evidence

A hold point is any inspection that must pass before the next trade can cover, close, or continue. Miss one and you're not just re-inspecting — you're opening a wall, pulling insulation, or chipping out a slab to prove work that was fine all along. The classic ones every super should have memorized:

  • Underground/under-slab — plumbing, electrical conduit, and any grounding get inspected before the vapor barrier and pour. Once that concrete is down, there is no "let me just check."
  • Rough-in — framing, mechanical, electrical, and plumbing rough all need sign-off before insulation and drywall. Sequence these so the framing inspection clears first; MEP inspectors will red-tag work sitting on top of unapproved framing.
  • Fire-rated assemblies — firestopping and rated-wall penetrations get looked at before the ceiling closes. This is the one that comes back to bite people at the final because it's invisible by then.
  • In-wall blocking and backing — not always a formal inspection, but a self-check hold point. Nobody wants to find missing grab-bar backing after the tile is set.

The value of representing these dependencies in your schedule is that the downstream work is visibly locked. When trade flows are connected — insulation depends on rough-in inspection, which depends on rough-in being complete — the plan itself refuses to let you sequence drywall in front of an open inspection. That's the whole point of connecting sequences instead of just listing tasks: the schedule enforces the gate so a well-meaning drywall crew doesn't cover a wall that hasn't passed because "it looked done."

The pre-inspection window is where fails get prevented

Most failed inspections aren't failures of the work. They're failures of readiness. The inspector shows up, the panel schedule isn't filled out, the required labels aren't on the equipment, the ladder to the attic access is somewhere else on site, or the electrician who can answer questions is at another job. The inspector writes a correction, and now you've burned the slot.

Build a short pre-inspection task that lands the day before, and give it a real checklist. Not a generic one — a trade-specific one:

  • Is the work actually complete, or 95% with a few "we'll get to it" items the inspector will absolutely notice?
  • Are permits and approved drawings on site and current? An inspector working from a stamped set you don't have is a guaranteed argument.
  • Is access clear — ladders, keys, lights on, panels labeled, the correct person available to walk it?
  • Did the trade foreman do their own walk first? A sub who inspects their own rough-in before calling for the official one fails far less.
  • For electrical, are the runs meggered and terminations torqued to spec before the wall closes? For plumbing, is the system holding test pressure and can you show the gauge?

Scheduling that prep task explicitly — the day before, assigned to the responsible foreman — is a small thing that changes your pass rate more than almost anything else. It turns "call for inspection" into "prepare for, then verify, then request."

Coordinate the inspector's day, not just the calendar

Inspectors have limited windows and they batch. If you can get your electrical rough, plumbing rough, and framing all ready for the same visit, you save everyone trips — but only if they're genuinely all ready. Nothing sours a relationship faster than an inspector who drives out for three items and can only sign one. When you can see the week laid out, you can make the honest call about whether to stack inspections or split them.

Third-party and special inspections deserve extra attention because you're coordinating an outside party against a perishable moment. Spray fireproofing has to be inspected before it's obscured. Concrete cylinder breaks and slump tests happen at the pour — the lab tech has to be standing there, not called after. Bolt-up and welding inspections need to catch the work in progress. These aren't "when it's convenient" — they're tied to a specific hour of a specific day, and if your look-ahead doesn't surface them a week out, you'll be the guy pouring concrete with no one there to test it.

Document at the moment, because memory doesn't hold up

Six months later, when the owner's rep asks whether the under-slab plumbing was inspected before the pour, "I'm pretty sure it was" is not an answer. Capture the record when it happens: date, inspector, result, and a few photos of the actual condition. Photos of rough-in before it's covered are worth their weight — they're your evidence when a later problem gets blamed on your scope, and they're how you close out punch items that were fine but got questioned.

When inspection records live alongside the schedule rather than in a separate binder or someone's phone, you get something useful: a running picture of what's been verified and what's still open. A dashboard that shows outstanding required inspections by trade means nothing falls through the cracks between rough and final. The inspections you forget are never the obvious ones — they're the fire-damper inspection, the backflow test, the special inspection on that one epoxy anchor detail. Manage failures like a workflow, not a crisis

You will fail inspections. Good supers fail fewer, but everyone fails some. What separates a controlled job from a chaotic one is how the correction gets handled. Log why it failed — the actual correction notice language, not "electrical failed." Schedule the fix as real work with a real crew and duration, then schedule the re-inspection with its own lead time. Then feed it back: if you're failing the same firestopping detail on three floors, that's not three problems, it's one training conversation with the sub before floor four.
