The most expensive walk on a jobsite is the one back to the trailer to check a dimension. It looks harmless. A carpenter isn't sure whether that opening is 3'-0" or 3'-2", so he sets his tools down, walks two hundred feet, digs through the drawing rack, finds the wrong rev, finds the right rev, walks back, and picks up where he left off. Call it eight minutes. Do that four times a shift across a crew of six and you've quietly burned a couple of labor-hours on nothing. Worse is when he doesn't walk back — he trusts his memory, frames it at 3'-2", and now you've got a door that doesn't fit and a change order argument you can't win.
Getting current drawings into the hands of the people doing the work, at the spot where the work happens, is one of those unglamorous problems that separates a smooth job from a grind. Here's how to actually solve it, and where the traps are.
Why point-of-work access matters more than it sounds
Two things go wrong when drawings aren't at the point of installation: wasted travel time and wrong-from-memory installs. The travel time you can measure and it's real, but the memory errors are what wreck your budget. A framer who "remembers" a rough opening, a plumber who "remembers" an invert elevation, an electrician who "remembers" a panel location — those are the mistakes that get buried behind finishes and cost five times as much to fix later.
The fix isn't complicated in concept. Every worker should be able to pull up the correct, current sheet in under thirty seconds without leaving their work area. Whether that's a phone, a tablet mounted on a cart, or a laminated set at each riser, the standard is the same: current, correct, and close.
Revision control is the whole ballgame
If you get one thing right, make it this. The single most dangerous document on a jobsite is an out-of-date drawing that everybody trusts. A superseded sheet is worse than no sheet — no sheet makes a worker ask; a wrong sheet makes him confidently build the wrong thing.
The old paper-set discipline was brutal but effective: when a revision came in, somebody physically pulled every superseded sheet from every set on the job and stamped the new one. It worked because there was a hard, human ritual around it. The moment you go digital, you lose that ritual unless you rebuild it deliberately. So:
- One source of truth. There is exactly one "current set," and everyone knows where it lives. No drawings emailed as attachments that live forever in someone's inbox. No PDFs on a shared drive that nobody dates.
