Here's a scene every superintendent knows. It's 6:45 in the morning, and the drywall foreman is standing in a corridor that was supposed to be ready for him, staring at a ceiling grid that the electrician never finished because a light fixture submittal got kicked back on Thursday. Nobody told him. The schedule he's holding — printed Friday afternoon at the trailer — says the area is his. The area disagrees. Now he's got six hangers on the clock and nowhere to put them.
That gap, between what the schedule says and what the building actually looks like this morning, is the whole problem real-time scheduling is trying to close. Not "collaboration." Not "visibility." Just this: does the person about to move a crew know what changed since the last time anyone looked?
Why paper and PDFs go stale before lunch
A three-week look-ahead is a promise about the near future, and the near future on a jobsite has a short shelf life. An inspection fails, a delivery slips a day, a mechanical foreman finds an interference above a hard ceiling — and every one of those events rewrites the plan for two or three trades downstream. If your update loop is "the super revises the schedule Friday, emails a PDF, and everyone works off it until next Friday," you are guaranteeing that by Tuesday half your crews are executing a plan that no longer matches reality.
The failure isn't that people are careless. It's that the information physically can't move fast enough through email chains, printed sheets, and hallway conversations. A change made in the trailer at 4 p.m. reaches the field foreman when he happens to check his email, or when someone remembers to tell him, or — often enough — when he shows up to a work face that isn't ready. The delay between the change and the awareness of the change is where coordination dies.

Office to field: getting the change to the guy holding the tools
