AV is the trade that bites you at the end. Framing goes in, drywall closes up, finishes land, and then somewhere around substantial completion the owner walks into the boardroom, points at the wall, and asks why there's no power and no conduit where the 98-inch display is supposed to hang. Now you're cutting open finished drywall, chasing an electrician who's already demobilized, and explaining to the AV integrator why his install date just slid three weeks. I've watched that exact scene play out on more jobs than I'd like to admit, and almost every time the root cause was the same: AV got treated as a plug-and-play finish trade instead of the deeply-embedded, multi-trade system it actually is.
Good AV coordination is a sequencing problem, not a software problem. But sequencing this trade well takes a disciplined look-ahead process, because the work that determines AV success happens weeks or months before the integrator ever shows up. Here's how it actually goes together on site.
AV Doesn't Start with AV — It Starts in the Walls
The single biggest misconception on a jobsite is that AV is a late trade. The install is late. The coordination is early. By the time the integrator is hanging displays and terminating cable, 80 percent of the decisions that make or break the system are already locked in the wall — conduit, back boxes, blocking, power, and pathway.
So the first thing you do, before the electrician even roughs in, is get the AV design overlaid against the electrical and framing drawings. Where every display, camera, speaker, and touch panel lands needs a home run of conduit back to the AV rack, a dedicated circuit, and structural backing behind it. If the integrator hasn't given you a rough-in package with device locations and box heights, you don't have a schedule yet — you have a hope.
Practical rule: treat AV rough-in as a predecessor to drywall, not a successor to it. Anything that lives behind the sheetrock — conduit stubs, pull strings, back boxes, low-voltage rings, plywood backing — has to be inspected and photographed before the wall closes. Once that rock goes up, every miss becomes demolition.
The Infrastructure Handoffs That Kill Schedules
AV lives or dies on three handoffs from other trades, and each one has a failure mode I've personally paid for:
- Electrical: Dedicated, clean power to every rack location and every powered device. The classic miss is sharing a circuit with lighting or convenience outlets, which injects noise into audio systems. Get the AV integrator's power requirements to the electrician before rough-in, not during trim.
- Framing/carpentry: Blocking and backing behind every wall-mounted display and speaker. A 90-pound display on a toggle bolt into 5/8 drywall is a lawsuit waiting to happen. You need plywood or steel backing sized and located to the mount's footprint, installed while the wall is still open.
- Low-voltage pathway: Conduit, J-hooks, cable tray, and sleeves through rated walls. Cat6A and fiber have bend-radius limits; a conduit that's too tight or has too many 90s will fail the pull, and you won't find out until the integrator is on site and the wall is closed.

Every serious AV system has a head-end — a rack room, IDF, or equipment closet. That room has to be finished, powered, cooled, and secured before the expensive gear ships in. And "cooled" is the one everyone forgets. A rack full of amplifiers and processors throws real heat; if the mechanical trade hasn't delivered dedicated cooling or at least confirmed the space stays within the equipment's temperature spec, you either can't energize the gear or you cook it.
Sequence the equipment room ahead of the general finish schedule. It needs floor covering (usually VCT or sealed concrete, not carpet — you don't want fibers in the gear), final power, grounding, cooling, and a lockable door before the integrator racks anything. Build it as its own mini-critical-path in your look-ahead, because it gates the entire back half of the AV install. If the rack room slips a week, everything behind it slips a week.
Rough-In, Trim, and the Buffers That Keep You Honest
Here's a realistic sequence and the buffers I'd hold for a typical commercial fit-out:
- AV rough-in (conduit, boxes, backing, pull strings) — coordinated with electrical and framing, closed out and photographed. Hold a 1–2 day buffer after rough-in before drywall for inspection and any missed device relocations.
- Cable pull — after drywall is up but ideally before finish paint, so a cable that needs re-pulling doesn't wreck a finished wall. Test and label every run as it lands. Certify the copper; don't wait for the integrator to find a bad run at commissioning.
- Device rough terminations / trim — coordinated with the ceiling grid and finish carpentry. Speakers and cameras that live in the ceiling have to sequence with the ceiling trade, not after, or you're pulling tiles and scratching new grid.
- Rack build and head-end — once the equipment room is finished and cooled.
- Programming and integration — the control-system code, which is often written off-site and loaded once the hardware is live.
- Commissioning, testing, and training — hold a real buffer here, not a token day.
The rule of thumb I live by: any AV activity that shares a ceiling or a wall with another trade needs a coordination conversation in the weekly plan, every week, until it's done. Ceilings are where AV, mechanical, sprinkler, and lighting all fight for the same 18 inches of plenum. That's not a problem you solve once in the shop drawings; it's a problem you re-solve every week as reality drifts from the plan.
Programming and Commissioning: Where the Schedule Really Slips
Physical install is predictable. Commissioning is where jobs go sideways, because it's the first time all the pieces have to actually talk to each other — displays, matrix switchers, DSP, control processors, network, and whatever the owner's IT department did to the VLAN last Tuesday without telling anyone.
Two things save you here. First, get the network sorted early. Modern AV runs on IP, which means it needs switch ports, VLANs, PoE budget, and IP addresses from the owner's IT team — and that hand-off is almost never on anyone's schedule until it's late. Second, protect the commissioning window. Integrators need the space quiet, powered, and finished — no ladders, no dust, no trades banging around while they're setting audio levels and tuning a room. Owner Decisions Are a Trade — Schedule Them Like One
AV is the trade where the owner has the most opinions and the least awareness of your schedule. Display sizes, room-scheduling panels, camera framing, "can we add a display over here" — these decisions land late and ripple backward into infrastructure you already closed up. The defense is to treat owner sign-offs as scheduled activities with real dates and real predecessors, documented in the same plan everyone else works from. When the owner wants a change after the wall is closed, you want a paper trail that shows exactly when the window to make that change for free closed. Making the Handoffs Visible
Everything above comes down to visibility. AV fails when the electrician doesn't know the AV power is different, when the framer doesn't know backing is needed, when the ceiling crew tiles over a speaker location, when IT gets blindsided at commissioning. None of those are hard technical problems. They're communication failures — a handoff that lived in one person's head instead of on a plan everyone could see.
